Xero’s new flexible invoicing solutions – explained.

Change is coming.

Our partners at Xero have been evolving their invoicing solutions, replacing their classic systems with new technology to improve user experiences by making their processes more flexible.

Some changes have already been implemented, while others will continue to be rolled out into early 2025 as their systems and processes move to the new version.

So, what are the new flexible invoicing solutions coming to Xero?

This blog post has all the details.

Overview: What is Xero’s new invoicing solution?

Like any platform, Xero needs to update its technology to stay ahead and maintain the best possible experience for its users.

Upon listening to feedback from users and conducting their own evolutions, they are changing their previously outdated invoicing technology.

These new developments are all designed to make invoicing with Xero faster, slicker and easier to use, introducing features like new email tools and formats and simplified payments.

When are the changes to Xero invoicing taking effect?

Now is the simple answer.

Beginning on the 2nd of September 2024, Xero defaulted all users to the new version of invoicing on a rolling basis with the option of switching back to ‘classic invoicing’ until it is retired on 27th February 2025.

Users can also opt to switch before the 25th of Feb to begin enjoying new features, so if you haven’t been moved yet, you can do so now.

What classic invoicing features are being carried over?

But fret not.

If you’re familiar with classic invoicing, many ‘fan favourite’ features are already available or will be improved in the new version alongside the shiny new solutions (but more on those later).

Classic Invoicing Features available under Flexible Invoicing:

  • Add inventory items directly from the invoice screen
  • Add online payments to invoices so customers can pay with preferred payment methods (credit card, debit card, Apple Pay, Google Pay, direct debit)
  • Add payments to your invoice, including credit
  • Add a new account code, tax rate or tracking category from the invoice screen
  • Address invoices to a contact group, auto-generating identical invoices
  • Attach and preview files using your device and the Xero file library
  • Copy an invoice to another invoice or quote
  • Copy to the other side of the ledger from an invoice (i.e. create a bill and purchase order)
  • Make manual tax adjustments, add percentage discounts and add tracking categories or projects to your invoice lines
  • Search and use foreign currencies
  • Send invoices via the Xero-to-Xero network
  • View change history to keep an audit trail of changes made, when and by who
  • View stock notifications for tracked inventory

NOTE: Not all of these features are available as of December 2024, but all will be usable when the classic system is retired in February 2025.
